policies

At Wooden Heart Tattoo, we are committed to providing a safe, professional, and comfortable tattooing experience. By booking an appointment or receiving services at Wooden Heart Tattoo, you acknowledge and agree to the policies and disclosures below.

Please read these policies carefully before booking. If you have any questions, contact the studio before your appointment.

APPOINTMENTS & BOOKING

All appointments must be booked through Wooden Heart Tattoo or directly with an authorized artist.

An appointment is not considered confirmed until the required deposit has been received and any requested booking information has been completed.

Appointments are reserved specifically for the client and artist selected. Please do not book an appointment on behalf of another person unless approved by the studio.

Providing false, incomplete, or misleading information during the booking process may result in cancellation of the appointment and forfeiture of the deposit.

Wooden Heart Tattoo reserves the right to refuse service or decline an appointment at any time.

A deposit WILL be required to secure an appointment.

Deposits are applied toward the final cost of the tattoo.

Deposits are non-refundable. They compensate the artist for reserving time, preparing artwork, communicating with the client, and turning away other potential appointments.

Deposits will be forfeited if a client:

  • Cancels outside the permitted cancellation window

  • No-shows

  • Repeatedly reschedules

  • Arrives excessively late

  • Fails to provide required information or communication

  • Arrives unprepared for the appointment

  • Is unable to proceed with the tattoo due to circumstances that could reasonably have been addressed before the appointment

  • Attempts to transfer or sell their appointment without studio approval

In certain circumstances, the studio or artist may allow a deposit to be transferred to a rescheduled appointment at their discretion.

Deposits are not transferable between artists unless specifically approved by Wooden Heart Tattoo.

DEPOSITS

CANCELLATIONS + RESCHEDULING

We understand that plans change. We simply ask that you respect the time reserved for your artist.

Clients must provide the required one week notice to cancel or reschedule an appointment. The cancellation/rescheduling window applicable to your appointment will be provided when booking.

Appointments cancelled or rescheduled without sufficient notice may result in the loss of the deposit and/or require a new deposit to book another appointment.

Repeated cancellations or rescheduling may result in the studio declining future bookings.

A no-show is considered a serious violation of our booking policy.

Clients who do not attend their scheduled appointment without contacting the studio may forfeit their deposit and may be required to pay a new deposit—or, at the studio's discretion, the full appointment fee—to book again.

Future appointments may also be declined.

NO-SHOWS

Please arrive on time and prepared for your appointment.

Arriving late may reduce the amount of time available for your tattoo. If your lateness significantly impacts the artist's schedule, the appointment may need to be shortened, rescheduled, or cancelled.

If an appointment must be cancelled because of excessive lateness, the deposit may be forfeited.

If you know you are running late, please contact the studio as soon as possible.

LATENESS

ARTWORK & DESIGN CHANGES

Our artists put significant time and consideration into creating tattoo designs.

Depending on the artist and appointment, artwork may be finalized shortly before the appointment or presented at the appointment.

Reasonable design adjustments may be accommodated when time allows. However, major changes to a design, concept, placement, or size immediately before an appointment may require the appointment to be rescheduled.

Major changes may also require an additional deposit or design fee.

Artists reserve the right to modify a design when necessary to ensure that it will translate appropriately onto the skin and age as well as possible.

ARTIST STYLE & CREATIVE DISCRETION

Every artist has their own artistic style, strengths, and areas of specialization.

Booking an artist indicates that you have reviewed their portfolio and are comfortable with their artistic style.

Artists may decline designs that fall outside their style, experience, technical ability, or artistic boundaries.

Wooden Heart Tattoo and its artists reserve the right to refuse or modify a tattoo concept if they believe the requested work is inappropriate, unsafe, technically unsuitable, or unlikely to produce a quality result.

Tattoo pricing may be determined by the artist based on factors including, but not limited to:

  • Size

  • Placement

  • Detail

  • Complexity

  • Style

  • Estimated appointment time

  • Custom artwork requirements

  • Cover-up or rework requirements

Quotes are estimates unless explicitly stated otherwise.

The final price may change if the scope of the tattoo changes.

Additional time may be charged when a tattoo requires more work than originally estimated.

AGE REQUIREMENTS & IDENTIFICATION

Valid government-issued identification may be required before receiving tattoo services.

Clients must be 18 years of age (or 16-17 with notarized, parental consent) under Florida law and Wooden Heart Tattoo's studio policies.

We reserve the right to refuse service if acceptable identification is not provided or if we are unable to verify that a client is legally eligible to receive tattoo services.

No exceptions will be made based on a client's stated age alone.

HEALTH & MEDICAL DISCLOSURE

Your safety is extremely important to us.

Before your appointment, you are responsible for informing your artist of any relevant medical conditions, allergies, medications, skin conditions, sensitivities, or other circumstances that could affect the tattooing process or healing of your tattoo.

You should disclose any condition that may affect:

  • Bleeding or clotting

  • Skin integrity

  • Healing

  • Infection risk

  • Sensitivity to tattooing

  • Allergic reactions

  • Your ability to safely receive the service

Your artist may decline or postpone a tattoo if they believe proceeding may be unsafe.

Do not arrive for an appointment under the influence of alcohol or recreational drugs.

If you are sick, contagious, experiencing a significant skin irritation, sunburn, open wound, or other condition affecting the tattoo area, please contact the studio before your appointment.

TATTOO HEALING & AFTERCARE

Tattoo healing varies from person to person.

Aftercare instructions will be provided by your artist. Following those instructions carefully is essential to achieving the best possible result.

Wooden Heart Tattoo is not responsible for complications caused by failure to follow aftercare instructions, including but not limited to:

  • Infection

  • Excessive irritation

  • Premature fading

  • Poor healing

  • Picking or scratching

  • Excessive sun exposure

  • Soaking or swimming before the tattoo has healed

  • Use of inappropriate products

  • Friction or trauma to the tattoo

If you experience unusual or concerning symptoms during the healing process, seek advice from an appropriate medical professional.

The artist must be able to safely tattoo the selected area.

We may decline to tattoo over:

  • Open wounds

  • Active rashes

  • Significant irritation

  • Fresh sunburn

  • Active infections

  • Certain scars or damaged tissue

  • Other compromised skin

Cover-ups, scar tissue, stretch marks, and previously tattooed areas may require additional consideration and may produce results that differ from tattooing on unaffected skin.

The artist will make the final determination as to whether a particular area can be safely tattooed.

PREGNANCY

Tattoos are permanent and healing can vary.

Some tattoos may require a complimentary touch-up after healing, depending on the artist's individual policy.

Touch-ups are intended to address areas that did not heal as expected—not to completely rework or redesign an existing tattoo.

Touch-ups may not be complimentary when the need for additional work is caused by:

  • Failure to follow aftercare instructions

  • Picking or scratching

  • Premature swimming or soaking

  • Excessive sun exposure

  • Trauma to the tattoo

  • Significant changes to the tattoo after the original appointment

Touch-ups requested after the applicable touch-up period may be subject to an additional charge.

Touch-ups on work completed by another artist or studio may be treated as new tattoo work and are not automatically complimentary.

TOUCH-UPS

PERMANENT BODY MODIFICATION

Tattoos are permanent modifications to the body.

Although tattoo removal and other corrective procedures exist, they can be expensive, time-consuming, uncomfortable, and may not completely remove the tattoo.

Clients are responsible for carefully considering their decision before receiving tattoo services.

Please communicate any concerns about placement, size, design, or visibility before the tattoo begins.

SKIN CONDITION & PLACEMENT

Wooden Heart Tattoo may decline to tattoo clients who are pregnant or who may be pregnant.

If you are pregnant, believe you may be pregnant, or are unsure whether tattooing is appropriate for you, consult your healthcare provider before booking.

Tattoo services and custom artwork are generally non-refundable once the service or work has been provided.

Because tattoos are permanent, clients are responsible for approving their design, placement, size, and overall concept before tattooing begins.

Once tattooing has started, refunds will not be issued simply because a client changes their mind about the design, placement, size, style, or finished result.

If you have concerns about your tattoo, please contact the studio so we can discuss the situation and determine whether a reasonable solution is available.

REFUNDS

Wooden Heart Tattoo and its artists may photograph completed tattoos for documentation, portfolio, educational, advertising, website, and social media purposes.

When possible, photographs may be taken without identifying information.

If you have concerns about photography or publication of your tattoo, please communicate this with your artist before your appointment.

PHOTOGRAPHY & PORTFOLIO USE

PERSONAL BELONGINGS

Clients are responsible for their personal belongings while visiting the studio.

Wooden Heart Tattoo is not responsible for lost, stolen, or damaged personal property.

Guest policies may vary depending on the artist, appointment, and studio capacity.

For safety, sanitation, and workspace considerations, the number of guests may be limited.

Please confirm guest policies with the studio before bringing additional people to your appointment.

Children and individuals who are not receiving services may not be permitted in tattooing areas.

GUESTS

BEHAVIOR & RIGHT TO REFUSE SERVICE

Wooden Heart Tattoo is committed to maintaining a professional and respectful environment for clients, artists, and staff.

Harassment, discrimination, threats, aggressive behavior, intoxication, inappropriate conduct, or disrespect toward artists or staff will not be tolerated.

Wooden Heart Tattoo reserves the right to refuse service or end an appointment at any time when we believe doing so is necessary for the safety, comfort, or well-being of our clients, artists, or staff.

If an appointment is ended because of inappropriate client behavior, the deposit may be forfeited.

CONSENT & CLIENT RESPONSIBILITY

By receiving a tattoo at Wooden Heart Tattoo, you acknowledge that you have voluntarily chosen to receive a permanent tattoo and understand the inherent risks associated with tattooing.

You are responsible for:

  • Providing accurate information during booking

  • Disclosing relevant health information

  • Following pre-appointment instructions

  • Following aftercare instructions

  • Reviewing and approving your tattoo design

  • Confirming placement, size, and orientation before tattooing

  • Asking questions if you are unsure about anything

By proceeding with the service, you confirm that you have had the opportunity to ask questions and that you understand the permanent nature of tattooing.

CHANGES TO POLICIES

Wooden Heart Tattoo reserves the right to update or modify these policies at any time.

The policies in effect at the time of booking will generally apply to your appointment unless otherwise required by law.

QUESTIONS:

If you are unsure whether a particular situation applies to you, please contact Wooden Heart Tattoo before booking or before your appointment.

We would always rather answer a question beforehand than have an issue arise during your appointment.
